This update brings a new Timeline view to the shift calendar, richer task conversations, new expense type settings, and easier handling of partially paid claims. We’ve also improved accounting sync, tightened access to sensitive information, and fixed several scheduling and billing issues.
What’s New
See shifts on a timeline

In Shifts → Calendar, switch between the existing Grid view and the new Timeline view. Timeline shows caregivers or clients in rows across a continuous seven-day, 24-hour calendar, making overlapping, back-to-back, and overnight shifts easier to see. It also shows caregiver unavailability behind shifts, a live “now” line, and a “Today” marker. Grid remains the default, and the calendar remembers the view you choose for your next visit.
Set up custom expense types

The new Expenses section in Settings → Policies lets you define expense types beyond mileage. For each type, you can set its name, whether a caregiver or office staff member enters it, a fixed amount or quantity-based rate, pay and bill rates, and whether a photo is required. Existing mileage settings are now in this section under Travel Mileage. This update adds the settings; recording these expenses on shifts and applying them to payroll and billing will come later.

Create and coordinate tasks for caregivers
You can now create tasks from the Tasks tab on a caregiver’s profile to keep office follow-ups connected to that caregiver. For example, if a caregiver needs to renew a certification, create a task so HR and scheduling can track the next steps together.

Anyone who can open a task can comment and mention colleagues who also have access to it. The Activity tab shows when the task was created, edited, reassigned, or completed, and task lists show the creation date. You can tag more than five team members, or use Tag all office staff to include everyone at once.

Record a caregiver’s requested hours
Office staff can enter a caregiver’s requested hours per week in Workforce → caregiver profile → Schedule → Availability, alongside existing availability notes. This field is currently entered by office staff; it is not yet available in the caregiver app.

Pin cleaner Command Center reports
When you pin a Command Center conversation as a scheduled or one-off report, its instructions are now saved as one clear request based on your final ask. This helps reports run as intended after you’ve refined a request through several messages. One-off reports no longer appear in the scheduled reports list or count toward the schedule limit.

Add pay modifiers while scheduling with Looper
When you ask Looper to schedule a shift or assign a caregiver, you can include a workspace pay modifier, such as a weekend or specialty differential, in the same request. Looper can also change or remove a modifier on an existing shift.
Move unpaid claim dates to a new claim
For a claim that has some paid dates and some denied or unpaid dates, you can move only the unpaid dates to a new claim under the appropriate authorization or policy. The original claim keeps its paid dates and adjudication history. Before submission, Careswitch also checks whether the same date and code were already billed on another claim, and corrections stay tied to the policy used for the original claim.
Manage accounting connections and invoice payments
For workspaces connected to NetSuite, a new Customers mapping screen shows how clients match to NetSuite customer records and suggests matches for unmapped clients. Client and service-line mapping screens now include search, an Archived filter, and Auto-match all. NetSuite also warns when an invoice is marked paid or overpaid there but remains open in Careswitch, alerts admins before a certificate expires, and allows one active accounting connection per workspace.
Payments recorded in QuickBooks or NetSuite, including partial payments, voids, and reopened invoices, now sync back to Careswitch invoices automatically. Invoice lines that are not tied to shifts also have clearer descriptions based on their type.
Other workflow improvements
  • Paychex exports now include a Holiday Premium pay component.
  • Unassigning a caregiver from a shift now requires a reason, with more absence types to choose from.
  • Workspace search can find someone by their legal first name even when they use a preferred name.
  • Notification settings show only the notification types that a person’s role can receive.
  • Roles editor: The Connections permission is now visible for every profile type.
Fixes & Reliability
  • Rate privacy: Shift calendars and hover cards no longer show client bill rates or caregiver pay rates to people without access to those rates.
  • Printed forms: Care Plan, Assessment, and Intake PDFs no longer include the signing staff member’s personal phone number in the signature block.
  • Client profiles: You can save a profile imported with only the last four digits of an SSN without removing that value. Billing a claim still requires a full SSN, Medicaid ID, or VA ICN.
  • Assignments: If saving an assignment configuration fails, you now see an error message.
  • Default Pay Rates: Fixed an issue where a bulk update could be applied to a different workspace than the one being saved.
  • Search navigation: Fixed a redirect loop that could occur when opening a contact or care recipient directly from search.
  • Shift setup: Fixed an error that could prevent creating, editing, or assigning a shift when its service used an older payer configuration.
  • Travel time: Automatic between-shift travel time is no longer added when the gap between shifts exceeds the configured maximum.
  • Invoices: Billing → Invoices now loads faster, especially in workspaces with a large invoice history.
