Careswitch now talks to your accounting system, holiday pay applies itself, and a big round of polish lands across billing, scheduling, and the mobile app.
QuickBooks Online integration
Connect your workspace to QuickBooks Online and your private-pay and VA invoices sync over automatically — no double entry. Map clients to QuickBooks customers with a guided setup, and when an invoice is fully paid in QuickBooks, it's marked paid in Careswitch too.
  • Invoices sync to QuickBooks automatically when sent, with consistent invoice numbers
  • Guided customer mapping, with fast search even on large company files
  • Payments recorded in QuickBooks reflect back on the Careswitch invoice
  • Sync activity appears on the invoice activity feed
Holiday pay rates, on autopilot
Set which hours count as holiday time and Careswitch applies your holiday rate rules for you — including overnight shifts that cross into or out of a holiday, where only the holiday portion gets the premium rate.
Add expenses to payroll
Reimburse caregivers without a workaround: add one-off expenses directly to a payroll run so supplies, parking, and other costs get paid with wages.
Clock in on behalf of a caregiver
When a caregiver can't clock in themselves, the office can now mark the shift in progress on their behalf — from the shift detail page or right from the calendar — with the action recorded in the shift's history.
Caregiver matching profiles, now in the app
Caregivers can complete their matching profile right from the mobile app — including a guided setup with Looper — and agencies control who can view versus edit matching details with finer-grained permissions. Agencies can also keep internal matching notes that caregivers and guests never see.
A richer activity feed
Shift edits, policy changes, and invoice/claim changes now leave a much clearer trail: what changed, by whom, including shifts added to or removed from claims and invoices.
Additional improvements
  • Get notified in-app and by email when an electronic remittance is received
  • Denied claim lines show the payer's adjustment reasons
  • Invoices show an item count, your agency email on PDFs, and the delivery destination for each invoicing method
  • Resending an already-sent email invoice now asks you to confirm, and is labeled "Resend"
  • A dedicated export page for reimbursement invoices
  • Clearer wording across billing: "invoice groups" are now simply "invoices"
  • Policies can carry a beneficiary name, shown on invoices
  • Charge for late cancellations when your agency's policy calls for it: a canceled shift's invoice line item can now be marked billable (canceled shifts still default to not billed)
  • Search billing and invoice tables by full name
  • Date pickers across the product gained month and year dropdowns — no more scrolling back one month at a time
  • Shifts with blocking exceptions show a clear icon on the calendar
  • Caregiver shift times show their timezone, and the app's week view starts consistently on Sunday
  • Mobile notifications and push notifications are more reliable, and unsaved care-summary edits are no longer lost when a shift refreshes in the background
  • Care notes reflect manually adjusted clock times accurately, and per-shift care notes now show the client's date of birth with a clearer service and billing header — on screen and on the exported PDF
  • Canceled-shift notifications are restored, and bulk cancellations send one digest instead of many messages
  • The assistant runs on an upgraded AI model, asks which policy to use when a client has several, and no longer creates duplicate services or care plans when scheduling
  • Command Center answers now stream in live as they're written — with an instant preview while Looper is thinking and a faster start on every request
