This release is about confidence: see exactly who owes you what and how long it's been owed, let AI find the right caregiver for every open shift, and track every invoice with a consistent number from send to payment — plus a big round of improvements across billing, scheduling, and the caregiver app.
## Accounts Receivable, at a glance
A new Receivables view shows, for every payer, how much is outstanding and how long it's been owed — an aging grid with click-through to the exact invoices behind any amount, plus summary cards for collections at a glance. The Invoices tab gains its own summary cards — Submission Ready, Total Paid, Total Outstanding, and Total Billed — with a needs-attention indicator when unsent billing is waiting, click-to-filter cards, and a new Invoice Age filter.
- See outstanding balances by payer across eight aging buckets
- Click any cell to drill into the invoices behind it
- A pulsing indicator on Billing tells you when invoices are ready to send
Find it at: Primary Navigation > Billing > Receivables
## Invoice numbers, everywhere
Every invoice and reimbursement now carries a consistent invoice number, shown on every surface: invoice pages, PDFs, emails, payment pages and receipts, exports, and file names. Search any invoice by its number from the invoice tables or the global search — and the number always matches what QuickBooks shows.
## AI screening for open shifts
When you post an open shift, Careswitch can now evaluate each eligible caregiver's matching profile against the client's before anyone is notified — so only genuine fits get the offer. Choose how strict the screening should be, add your own evaluation instructions, and see exactly who was screened out and why.
- Off, Low, Medium, and High strictness levels per post
- A "matched X of Y" summary with per-caregiver screening reasons
- AI shift review rules can now target specific roles or people, or apply workspace-wide with exclusions
## Mileage and travel time, billed your way
You now control exactly how mileage and travel time are billed. Decide per payer whether these add-ons belong on their invoices, and collect them differently for billing versus payroll — for example, bill the payer from caregiver entry while paying the caregiver from the automatic estimate. The caregiver app asks for exactly the right values at clock-out, and zero-rate mileage and travel lines no longer clutter invoices.
## Move any line item between invoices
Moving billing around is no longer all-or-nothing. Every line item — shift hours, travel time, mileage, and expenses — can be moved to another invoice individually or in bulk, with per-item checkboxes and a single action that consolidates your selection onto one destination invoice. Amounts stay exactly as they were: moves never change rates or payers on their own.
## Know when an invoice is ready to send
Invoices now tell you whether they're complete. When a billing period ends, the invoice page flags any shifts that aren't on the invoice yet — ready to add, needing review, or never worked — with one-click Add and Add All actions. Send confirmations warn you when shifts are missing, and new Reviewed and Paused statuses let you mark an invoice ready to go (with who reviewed it and when) or put it on hold.
## One-click submission packets
Private-pay and reimbursement invoices can now export a full submission packet: every supporting document bundled together, with a clear ready/not-ready status for each. Reimbursement packets include proof-of-payment receipts for the paid primary invoices they cover. Downloading an export and filing it to a client's documents are now separate, deliberate actions — nothing gets filed where guests can see it unless you choose to.
## Easier recurring schedules
Setting up a repeating schedule is simpler and clearer: pick the days on one line, see each day's start and end times at a glance, copy one day's times to all days, and read a plain-language summary of the pattern before you save. Weekday bill rates now mirror the days you actually selected. The calendar also gained weekly hours totals, an Employee Role filter, caregiver unavailability, and rows scoped to schedulable caregivers.
## Additional Improvements
- Control how early caregivers can clock in before a shift starts, with clear "clock-in opens at" messaging on every surface — and impossible clock-out times are now caught the moment they're entered
- Fine-tune how recorded shift times round: choose the increment, the rounding method, and whether rounding applies to the total duration or to each clock time — plus a new rounding option for third-party payables
- Require client signatures at clock-out and tailor care note details per payer, instead of one workspace-wide setting
- Indiana agencies can turn on weekly Medicaid eligibility checks — every active client with a Medicaid ID is verified automatically, with mismatches flagged for review
- QuickBooks: customer mappings are kept one-to-one, and when a payment is refunded in QuickBooks the invoice automatically reverts to unpaid
- Electronic remittances: payment references now appear on invoices, payer adjustment reasons are captured in full, remittances forwarded to a secondary payer apply correctly, and duplicate deliveries can never double-post a payment
- Claims: rejections now show the payer's specific reason, and rejected claims can always be corrected and resubmitted
- EVV: a new notification preference, automatic resubmission after Medicaid ID or payer changes, corrections attributed to the requesting team member, and claim dates that align with the visit on overnight shifts
- More billing flexibility: daily billing frequency for private pay, billing start dates for private payers, pending policies for clients whose payer details are still being finalized, deliberate same-period invoices, and services shared across coverage windows
- Add billable expenses right from a shift, and marking an item unbillable now asks for a reason
- New export options: per-service invoice exports, billing exports attached to emailed invoices, improved care note file exports, and reusing a paid invoice as proof of payment
- Reimbursement invoices gained an activity feed, a redesigned opt-in, and automatic catch-up for care billed before opt-in
- The shifts table shows payer details with a Payer Type filter, search matches preferred names, profile tags support multi-select and appear on payer tables, and filter menus stay open while you pick multiple options
- Admins can sign a caregiver out of the app on demand, and new profiles can no longer silently link to the wrong account
- Caregiver app: helpful empty and error states on the care task list, and more consistent handling when a session expires
- Guests can now be granted permission to view invoices for their connected clients
- Batch shift assignments send one summary notification per schedule, and inactivating a caregiver no longer sends them an automated email
- Reaching out for help? The support panel now shows your dedicated Careswitch account manager
- The assistant handles voided invoices better, explains itself clearly during service interruptions, and its invoice actions now behave exactly like the buttons in the app
- Fixes across the board: reported clock-in times are preserved on manual completion, shifts on a service's final day bill correctly, policy selection is consistent when policies share a start date, and crashes were resolved in shift hover cards, billing item actions, the chat composer, and contact profiles
- Care notes headline billable time according to your billing settings, and the care note preview now closes back to the page you opened it from
